Have you sent a follow-up email to your prospective families but haven’t heard anything back? Following up is an ongoing task that helps reach more families, increase enrollment rates, and keep parents excited about what your school has to offer. Studies show that to capitalize on the power of effective follow-up, we must make at least five contacts (calls, texts, emails) with every lead. But we know that as a school leader you’re already wearing several different hats, and follow-up can quickly slip through the cracks. That’s where time management and delegating come into play.

At school, students are taught to feel comfortable asking for help and managing their time more efficiently to achieve their goals. But are you putting these tips into practice? If you have a big team at your school, delegating is often the best route. But if you are a one-person show, time management is crucial to your enrollment success.

At Schola, we offer free and premium services to help you connect with parents more efficiently while also reducing your follow-up tasks. Request a demo and learn more about how these online tools can help your school reach its enrollment goals.

Get To Know The 4 D’s!

The 4 D’s is a time management technique that helps us place tasks in a category to increase efficiency and focus on what matters most.

  1. Do
  2. Delay
  3. Delegate
  4. Drop

How To Apply It:

  • First, get that to-do list in front of you at the beginning of the day.
  • Next, start doing! If you start the day by tackling tasks that only take a few minutes to complete, it will help you build momentum for working on larger projects later on.
  • After, click pause. Temporarily put on hold the tasks that don’t need to be handled right away, and schedule them for when you have some extra time available.
  • Then, delegate. Reassign tasks to team members who can complete them with minimal assistance or guidance from you; that way, you can disconnect and focus on the essentials.
  • Finally, drop the non-essential items!! Remove unnecessary tasks from your schedule and move on. Sometimes it can be a little challenging to determine what to drop and what to keep, but I encourage you to trust your intuition, experience, goals, and team members to help you decide.

What Do The Tasks Look Like?

Here are a few examples!

Do:

  • Answering a parent email, direct message, or returning a phone call.
  • Checking your Schola Marketing Command Center. Here, you can quickly see how all your campaigns are performing even outside of Schola–all in one place.

Delay:

  • New request from a colleague or future project ideas.
  • You can delay having to communicate directly with parents, by taking advantage of Schola’s Automated Outreach Campaigns. Simplify your follow-up with automated text and email messages, and talk to them directly later in the enrollment process.

Delegate:

  • Determine those tasks that benefit from your specific expertise from those that deliver the same outcome if another team member completes them.
  • Use the Schola AdBuilder, so you don’t need to worry about creating digital ads for lead generation. You can delegate the task of attracting student leads to Schola and let our team of experts fill your prospective student pipeline.

Drop:

  • Unproductive meetings and unnecessary emails.
  • Say goodbye to searching for potential families yourself. Schola’s Live Parent Search discovers families currently shopping for schools in your target area, so you don’t have to.

Effective delegation and time management are both critical for any school’s success. Let’s work together to help you gain control of your time and facilitate reaching your enrollment goals. It doesn’t matter if your team is big or small; Schola has the best tools to help you lead and focus on achieving your follow-up tasks and enrollment goals.
